Tired of typing the same reply every time someone sends you emails with a common question?
Compose your reply once and save the email as a template.
Later, you can open the template and send it again with just a few clicks.
Note: When you create a template in Inbox by Gmail, it appears in Gmail as a canned response (and vice versa).
Gmail instructions
Enable the canned responses lab
- In Gmail, click Settings settings and select Settings.
- Select the Labs tab.
- Scroll to the canned responses lab and click Enable.
- At the bottom, click Save Changes.
Work with canned responses
- Click the Down arrow arrow_drop_down in the formatting toolbar of your compose window and select canned responses.
- Send a canned response: Choose a saved response to insert in your email, then click Send.
- Save a response: After composing your message, click New canned response and name your response. You can also overwrite previously saved responses by clicking that response’s name under Save.
- Delete a saved response: Click the response you want to delete.
Automate canned responses
- In the Gmail search box, click the Down arrow arrow_drop_down.
- Enter your search criteria, then click Create filter with this search.
- Check the Send canned response box and select one of your saved canned responses.
- Click Create filter.
Inbox instructions
Create a template
- Hover over Create add and click Compose edit.
- Type your message in the body of the email. You can also add images.
- At the bottom, click the Down arrow arrow_drop_down > Templates receipt > Make this draft a template.
- Enter a name for your template. Only you can see the name.
- Click Create.
Note: Information in templates doesn’t change from email to email. For example, a template that says "Dear FirstName" won’t automatically update to use a recipient's first name.
Use a template
- Hover over Create add and click Compose edit.
- At the bottom, click the Down arrow arrow_drop_down > Templates receipt and click the name of the template you want to use.
- Add recipients, a subject, and edit the email if needed.
- Click Send
Delete a template
- In the menu, scroll down and click Settings.
- Click Templates.
- Hover over a template and click Delete delete.
- Click Delete to confirm.
