Tired of typing the same reply every time someone sends you emails with a common question?


Compose your reply once and save the email as a template.


Later, you can open the template and send it again with just a few clicks.


Note: When you create a template in Inbox by Gmail, it appears in Gmail as a canned response (and vice versa).


Gmail instructions


Enable the canned responses lab

  1. In Gmail, click Settings settings and select Settings.
  2. Select the Labs tab.
  3. Scroll to the canned responses lab and click Enable.
  4. At the bottom, click Save Changes.


Work with canned responses

  • Click the Down arrow arrow_drop_down in the formatting toolbar of your compose window and select canned responses.
  • Send a canned response: Choose a saved response to insert in your email, then click Send.
  • Save a response: After composing your message, click New canned response and name your response. You can also overwrite previously saved responses by clicking that response’s name under Save.
  • Delete a saved response: Click the response you want to delete.


Automate canned responses

  1. In the Gmail search box, click the Down arrow arrow_drop_down.
  2. Enter your search criteria, then click Create filter with this search.
  3. Check the Send canned response box and select one of your saved canned responses.
  4. Click Create filter.

Create a template

  1. Hover over Create add and click Compose edit.
  2. Type your message in the body of the email. You can also add images.
  3. At the bottom, click the Down arrow arrow_drop_down > Templates receipt > Make this draft a template.
  4. Enter a name for your template. Only you can see the name.
  5. Click Create.

Note: Information in templates doesn’t change from email to email. For example, a template that says "Dear FirstName" won’t automatically update to use a recipient's first name.


Use a template

  1. Hover over Create add and click Compose edit.
  2. At the bottom, click the Down arrow arrow_drop_down > Templates receipt and click the name of the template you want to use.
  3. Add recipients, a subject, and edit the email if needed.
  4. Click Send

Delete a template
  1. In the menu, scroll down and click Settings.
  2. Click Templates.
  3. Hover over a template and click Delete delete.
  4. Click Delete to confirm.
